HubSpot Implementation

Onboarding gets you set up. Implementation gets you a revenue system.

HubSpot's guided onboarding configures the software. We build the model underneath it — objects, lifecycle, routing, attribution and the integrations that keep the data true.

Platinum Partner. Proof of concept first, roughly three weeks to first value on the P0 items, then a phased build.

Where HubSpot projects go wrong

The software rarely fails. The model underneath it does.

Setup mistaken for implementation

HubSpot's paid onboarding covers guided setup — not custom integrations, roadmap or change management. Their own docs send you to a partner for that.

Adoption, not migration, is the failure

Data lands fine and reps keep working in a spreadsheet. If the CRM is slower than the workaround, the workaround wins.

Lead source quietly unset

Attribution breaks at the point of creation, not in the report. Once channel ROI cannot be computed, every budget conversation becomes opinion.

Workflow sprawl

Two hundred workflows, no owner, no naming convention. Nobody can say what fires when, so nobody dares delete anything.

What we actually build

Five HubSpot engagements, one delivery standard

Every one ships with a named owner, an error path and a dashboard.

H-01 · Implementation

Greenfield HubSpot build

Data model, pipelines, lifecycle, permissions and reporting built to how your revenue actually works — roughly ten weeks across four phases.

H-02 · Migration

Migration from Pipedrive, Salesforce or a spreadsheet

Field map agreed first, staged writes, a reconciliation report you can audit, and history that survives the merge. CRM implementation & migration.

H-03 · Integration

HubSpot wired into the rest of the stack

Product data, billing, enrichment and outbound tools connected through n8n or Clay, so the CRM stops being an island. GTM automation.

H-04 · Reporting

Dashboards someone actually opens

Pipeline, forecast and channel reporting with the definitions written down — plus pipeline risk scoring where the inputs stay visible on the record.

H-05 · Ongoing

Fractional RevOps after go-live

The failure mode we see most often is a partner who disappears at launch. Retainer or embedded engineer, using your tooling and your review process, with the option to stop at any point.

On AI credits

Breeze features draw on a shared monthly AI credit pool, and the Customer Agent bills per resolution rather than per conversation. It is a budgeting question worth answering during implementation instead of discovering it in an invoice.

Selected work

Method over stats wall

CS-01 · Xopero / GitProtect

Enrichment and routing rebuilt around HubSpot

Routing moved out of native workflows into a logged, retried pipeline; HubSpot kept the logic admins need to own.

CS-02 · Webnomads

CRM hygiene before reporting

Matching and merge policy written down first, then automated — only ambiguous merges left for a person.

CS-03 · Anonymised · B2B SaaS

Attribution rebuilt at the point of creation

Lead source enforced on every creation path rather than patched in reporting, which is where it had been failing.

How we start

Proof of concept first. Phases after that.

01

Instance audit

Objects, workflows, properties and integrations listed with what each touches and how it fails. You keep the document either way.

02

Proof of concept · ~3 weeks

The P0 items built properly and in production — not a demo instance. Scoped in hours, not phases.

03

Phased build or retainer

Roughly ten weeks across four phases for a full build, or ongoing RevOps if that fits better.

Questions we get asked

HubSpot implementation, answered.

Do I need a partner if I already pay for HubSpot onboarding?

If your setup is standard, no. HubSpot's guided onboarding covers configuration well. You need a partner when the work involves a custom data model, migration with history, integrations that must not fail silently, or getting a team to actually change how it sells.

What does HubSpot implementation cost?

We scope it after the audit rather than publishing a figure. A full build usually runs about ten weeks across four phases, and the honest number depends on what is already in your instance — how many custom fields, how many old automations, how much history has to survive the move.

Platinum or Elite — does the tier matter?

Tier reflects volume and revenue through the partner programme, not build quality. What matters more is who does the work: with us it is the same senior people from audit to handover, not a pitch team followed by a bench. Read our HubSpot Marketplace reviews.

How risky is migrating from our current CRM?

The risk is not the export — it is the field map and the merge policy. We agree both in writing, migrate in stages, and hand you a reconciliation report so you can check rather than trust. CRM migration in detail.

Agency or freelancer?

A freelancer is cheaper and fine for narrow work. An agency gives you bench depth and cover when someone is ill. We sit in between deliberately: small senior team, no account layer, and you can end the retainer whenever it stops earning its keep.

Next step

Start with an audit of the instance you already have.

Two weeks, fixed scope. You leave with the data model documented, the failure modes named and a prioritised build order — whether or not you build it with us.
