Pipedrive Automation

Pipedrive is not the problem. Outgrowing it quietly is.

A flat data model and light native automation are exactly right for a small sales team moving fast. They stop being right the day you need custom objects, real branching or reporting nobody has to caveat.

We do both jobs: make Pipedrive work properly, or move you off it with the history intact. We will tell you honestly which one you need.

What actually hurts

Four constraints worth naming before you blame the tool.

Flat data model

No real custom objects. Anything that is not a deal, person or organisation gets forced into a custom field and reported on badly.

Duplicate handling is manual

Imports and integrations create the same person twice, and the only defence is a human noticing.

Light native automation

Fine for simple triggers, short of what you need for conditional routing, retries or anything that calls an external service.

Reporting with an asterisk

Attribution and forecast confidence are hard to express, so every board slide gets a verbal footnote.

What we actually build

Two honest paths

Most teams that think they need a migration need three weeks of work on the instance they already have.

Path A · Stay and fix

Make Pipedrive do more than it looks like it can

External dedupe before every write, enrichment through a dedicated data layer, routing and scoring in an orchestration tool, and a documented field convention so imports stop inventing new columns.

01
Field map and naming convention written down
02
Dedupe and upsert keys enforced outside the CRM
03
Routing, scoring and enrichment in an orchestration layer
04
Reporting definitions agreed and documented
Path B · Move properly

Migration with the history intact

The risk is never the export — it is the field map and the merge policy. Both agreed in writing, migrated in stages, with a reconciliation report you can audit rather than trust.

01
Field map and merge policy signed off first
02
Staged writes, never one big import
03
Reconciliation report per object
04
Adoption plan, because that is what actually fails
Stay or move

When we say don't migrate

If you are a sales-led team under twenty people with clean deal flow and no marketing automation ambitions, Pipedrive plus a proper automation layer will beat a migration you spend a quarter recovering from. We say this often enough that it is worth writing down. What a HubSpot build actually involves.

Questions we get asked

Pipedrive, answered.

How do I know if we have outgrown Pipedrive?

Run the checklist at the top of this page. One or two ticks is an optimisation job. Four or more — especially custom objects and one shared lifecycle across marketing and service — is a real platform decision.

Can Pipedrive handle proper GTM automation?

Yes, as long as the logic lives outside it. Enrichment in a data layer, orchestration in a workflow tool, Pipedrive as the system of record. Its own automation is fine for simple triggers and not built for branching or retries. How we build that layer.

How risky is migrating to HubSpot?

Manageable if you treat the field map and merge policy as the deliverable, not the export. Riskier than the CRM vendors imply, because adoption — not data — is what usually fails. CRM migration in detail.

You are a HubSpot partner. Are you biased?

We are, structurally, so judge us on what we recommend. We regularly tell small sales-led teams to keep Pipedrive and spend a fraction of the migration budget on the automation layer instead.
